Job Description: Sales Administrator

A Sales Administrator plays a key role in supporting the Sales Department's daily operations. This position is responsible for tracking sales programs and promotions, ensuring timely and accurate rebate processing, generating reports, assisting with sales team coordination, and maintaining up-to-date sales data and documentation.

Administrative Assistant Duties and Responsibilities

Program Tracking:

  • Monitor, record, and maintain data for sales programs, dealer incentives, and promotional campaigns.
  • Track dealer participation, performance metrics, and rebate eligibility.
Rebate and Credit Management:
  • Process rebate submissions accurately and ensure timely issuance of credits to dealers.
    • Bid, Fleet, UTV, Demo Program, Seasonal Promos, Walmart, Co-op
Reporting & Analytics:
  • Generate sales reports for management review.
  • Maintain and update dashboards and spreadsheets related to sales performance.
  • Track and analyze company-level KPIs to support data-driven decision-making.
Administrative & Team Support:
  • Track sales team tasks, deadlines, and projects.
  • Assist with communication between sales and operations departments.
  • Support the preparation of sales materials, presentations, and documentation.
System & Data Management:
  • Enter and maintain accurate sales, dealer, and program information in company tracking databases.
  • Ensure data integrity across systems and assist in troubleshooting discrepancies.
Travel & Events:
  • Assist with planning, coordination, and on-site support for equipment shows, dealer meetings, training sessions, and other sales-related events.
  • Represent the company in a professional and positive manner while supporting event coordination.
  • Must be willing and able to travel as needed to attend shows, meetings, and sales-related events.
Other Daily Tasks:
  • Handle incoming inquiries from TM's / dealers and internal teams regarding program details and status updates.
  • Assist with special projects, reporting requests, and administrative initiatives as needed.
  • Answer incoming sales calls and respond promptly to sales-related emails, ensuring professional communication and timely follow-up with dealers and customers.


Administrative Assistant Skills and Qualifications

Administrative Assistants require a broad skill set to perform their duties effectively. As a key support role, strong communication and sound decision-making are essential. Core competencies for this position include:
  • Strong attention to detail and organizational skills.
  • Proficiency with Microsoft Office. Excel, Word, PowerPoint., etc.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
