Execute a variety of administrative tasks that demand discretion, initiative, and sound judgment.
Offer high-level administrative support by conducting research, preparing reports, managing information requests, and handling clerical duties such as drafting correspondence, welcoming visitors, and organizing conference calls and travel arrangements.
Schedule meetings as a crucial part of the day-to-day tasks.
Interact with staff at all levels in a dynamic environment, maintaining flexibility, proactivity, resourcefulness, and efficiency, while upholding a high level of professionalism.
Develop relationships within a highly matrixed organization and manage administrative and executive support tasks with minimal supervision.
Adapt procedures, processes, and techniques to align with departmental activities and objectives.
Skills Required
At least 3 years of experience in an Executive or Administrative Assistant role.
Experience on a Trading Floor is advantageous.
A high school diploma or GED is required;a Bachelor's degree is preferred.
Ability to multitask effectively in a fast-paced environment.
Proficiency in calendar management.
Adaptability and teamwork skills.
Strong problem-solving capabilities.
Proficient in Microsoft Word, Excel, and PowerPoint, including table creation, mail merges, and basic formatting.
Familiarity with general office procedures such as filing, correspondence, scheduling, and expense management.
Excellent interpersonal skills and telephone etiquette.
Discretion and sound judgment in confidential situations, with proven experience in interacting with senior management.
